1. Guided supplier invoice submission
Quantive Technologies configured a supplier-facing portal experience that allowed authorized supplier contacts to submit a new invoice, select or provide relevant supplier and purchase-order information, attach the invoice document, and receive a trackable request. The guided page reduced ambiguity at intake and helped ensure required information was available before AP review.
2. Intelligent invoice scanning and extraction
When the supplier uploaded an invoice, Document Intelligence initiated document processing and extracted configured invoice information into structured fields. AP specialists could review the original document alongside extracted header and line data, confirm values, and correct exceptions without manually retyping the entire invoice.
3. Purchase-order validation and matching
The invoice workflow connected invoice lines to the relevant purchase-order lines and supported matching suggestions. The design accommodated multiple invoices against a purchase order, including partial and split invoicing scenarios. Quantity, price, amount, and receipt-related differences could be identified and handled as managed exceptions rather than remaining buried in email conversations.
4. Exception, inquiry, and approval workflows

5. ERP integration and operational visibility
The solution positioned ServiceNow as the collaboration, orchestration, and exception-management layer around the customer’s ERP. Approved invoice data could be transferred to the ERP for posting and payment, while status and reference information could be returned to ServiceNow. This preserved financial controls while giving suppliers and operational teams a simpler workflow experience.
